How to run cap tracking and disbursements without support calls
Use this guide to onboard agents, log transactions, track cap progress, and connect Stripe ACH payouts.
Getting Started
- Add your agents — Enter each agent's name, email, cap amount, and split structure. Takes 2 minutes per agent.
- Log your first transaction — After a closing, enter the gross commission. BrokerPay calculates your split and the agent's share automatically.
- Track cap progress — Watch the dashboard. When an agent hits their cap, their split percentage updates automatically.
Dashboard / Overview
- Cap Progress shows how close an agent is to their annual cap.
- YTD Earned is the commission credited toward the cap this year.
- Split % is the brokerage share before and after cap.
Agent Management
- Add Agent creates a roster account.
- Inactive agents are hidden but their history stays preserved.
- Cap Amount is usually $16,000-$25,000 annually.
Transactions
- Gross Commission is entered before splits.
- Pending means logged but not paid. Paid means disbursed. Audit means flagged for review.
- Audit Trail keeps timestamped compliance records.
Settings
- Cap Year Start controls annual reset timing.
- Default Split Structure applies to new agents.
- Stripe Connect links the brokerage bank account for ACH.
FAQ
What is a commission cap?
A cap is the total commission volume an agent generates before their split structure changes. Most brokerages use caps to reward high-producing agents with better splits after they've contributed enough to the brokerage. Example: if an agent's cap is $20,000, once they've generated $20,000 in commission for the brokerage, your take drops to 0% or a low desk fee for the rest of the year.
How does BrokerPay calculate splits?
You enter the gross commission from a transaction. BrokerPay applies the agent's current split percentage, pre-cap or post-cap depending on where they are in their cap year, and shows you exactly what each party receives.
What happens when an agent hits their cap?
BrokerPay automatically switches to the post-cap split for that agent for the rest of their cap year. You'll see the cap progress bar hit 100% on the dashboard.
When does the cap year reset?
On the date you set in Settings → Brokerage Cap Year Start. Most brokerages reset annually, usually Jan 1 or the brokerage anniversary.
Is my transaction data secure?
Yes. All data is encrypted in transit and at rest. Transaction records are permanently stored for audit purposes.
How do I pay out agents?
Connect your brokerage bank account via Stripe Connect in Settings. Once connected, you can disburse directly to agents via ACH. Without Stripe Connect, BrokerPay tracks splits but disbursement happens outside the platform.
Can I have different cap structures for different agents?
Yes. Each agent has their own cap amount and split percentages. Go to Agents → Edit or Cap Tracking to customize per agent.
